How to Search Cases by Name
The public-facing Hart Icon Case Search offers no anonymous name field. The screen simply says “Please Login.” You cannot type a surname there. You cannot pick a court or view matching results without authorized credentials. So a sound name search starts by identifying the court. Then turn to the Clerk's fallback rather than guessing at logins.
- Identify Superior, Probate, Magistrate, Juvenile, municipal, or federal court from the notice and matter type.
- Write down the full name and alternate spelling, approximate year, record type, and case number if known.
- For a Superior case, open Icon only to confirm the login requirement. Do not attempt to bypass it.
- Call or visit the correct clerk and ask what public search or request method is available.
- Use court and year to narrow a common name. Confirm a match with the case number and public case details.
Visit the Hart County Clerk of Superior Court at 185 West Franklin Street in Hartwell. You can also call 706-376-7189. The office states that most records may be viewed during regular hours. The office publishes no public terminal scope, staff-search policy, Icon fee, or home-account terms. Ask about those points before you visit or mail a request.
Hart Icon Login Controls
The Hart County portal presents four user controls: UserID, UserPassword, Log In, and Remember User Name. The page also displays Icon Case Management version 5.1.3.1. Its HTML contains a response for invalid credentials. No guest button or anonymous registration link appears.
| Visible Label | Type | What It Means |
|---|---|---|
| UserID | Text input | Credential, not a party-name search |
| UserPassword | Password input | Authorized access is required |
| Log In | Button | Submits credentials |
| Remember User Name | Checkbox | Stores the user name choice |
Without login, no case type, date range, judge, result grid, document tab, pagination, export, or purchase field is visible. Do not assume those features exist as Hart County search options. Another Georgia vendor guide may describe similar tools. That does not make them real here. Call the Clerk instead. Staff can explain lawful account setup or public counter research.
How to Search by Case Number
A case number is usually the strongest identifier. Names repeat, and they change. Hart County's exact Superior, Probate, and Magistrate number patterns are not publicly visible. The Icon gate blocks result pages. The scanned calendar offers no reliable text sample. Type the number exactly as printed, with its letters, punctuation, and leading zeroes.
Never invent a sample like YYYY-CV-##### and treat it as local. The published federal example 7:26-cv-00228-WLS-CHW belongs to the Middle District of Georgia. It is not a Hart County state court number. If only part of a number is readable, give the Clerk the court, the approximate year, a party name, and the matter type. Staff can then confirm the local format.
Choose the Hart Case Custodian
One county has several docket keepers. The Superior Clerk holds Superior civil, criminal, juvenile, adoption, protective-order, jury, and related files. Access law still applies to all of them. Probate keeps estate, guardianship, marriage, and firearm-license matters. It also keeps its own traffic, game, and fishing cases. Magistrate keeps lower civil claims, warrants, first appearances, bonds, and county ordinance files. Each municipal court keeps its city docket.
| Matter | Online Starting Point | Human Fallback |
|---|---|---|
| Superior civil or criminal | Icon login or Georgia E-Access provider | Superior Clerk, 706-376-7189 |
| Probate or estate | No public local lookup found | Probate, 706-376-2565 |
| Magistrate | eFileGeorgia is filing, not lookup | Magistrate, 706-376-6817 |
| City traffic or ordinance | City vendor where available | Issuing city court or clerk |
| Federal | PACER | Middle District Athens clerk |
Juvenile access follows confidentiality rules. JDEX serves authorized users only and is not a public Hart County case search, and a city payment screen is not a county case register either.
What a Case Search Shows
A public case lookup can identify the case and summarize its procedural history. Hart County's Icon result fields stay hidden behind the login gate. The field names that follow describe ordinary docket concepts. Georgia provider materials and Hart court functions support those concepts. They are not a transcription of a Hart result screen.
| Case Number | The court's unique identifier; Hart's exact pattern is not public. |
|---|---|
| Style or Parties | The public case caption, subject to confidentiality and redaction. |
| Case Type | The matter category; exact Hart dropdown labels remain unknown. |
| Filed Date | The date a matter or filing entered the court record. |
| Status | A procedural condition, not always the final outcome. |
| Filings and Hearings | Chronological entries and settings when the provider makes them public. |
A docket entry is not the underlying document itself. Images, certified copies, and full files may require a separate Clerk request and fee. The county publishes no plain-copy, certified-copy, or Icon access fee, so ask for the current amount and delivery method before ordering.
Hart Filing Is Not Case Lookup
PeachCourt, Icon, and eFileGeorgia play different roles. Georgia's official e-file provider table marks PeachCourt as mandatory for Hart Superior Court filing. Icon is the Clerk's local route for criminal and civil document research. Hart Magistrate links eFileGeorgia for online filing. An account screen for filing does not prove that an anonymous case lookup exists.
The PeachCourt account page shows that provider's sign-in flow. That flow underlies the Hart County case lookup picture.

The account prompt marks the line between authenticated filing workflow and open public docket access. The eFileGeorgia account route serves the same filing purpose for Hart Magistrate.

Those controls guard filing access, not a Hart case lookup.
County vs Statewide Case Search
Georgia has no single public statewide docket box that returns every Hart County court. The Georgia Courts E-Access page works as a provider directory instead. You pick a court or provider and may then hit account terms. Hart Superior routes to one provider. Probate, Magistrate, municipal, juvenile, and federal files keep their separate boundaries.
| Georgia E-Access | Hart Icon |
|---|---|
| Directory to participating providers | Local Hart Superior research route |
| Not one statewide result list | Observed page requires login |
| Useful when locating a provider | Useful to authorized local users |
| Coverage and account rules vary | Anonymous fields and results not visible |
For federal Hart matters, use PACER and the Middle District of Georgia Athens Division. A federal docket number will not work in the state Icon application. For a municipal ticket, start with the issuing city and the citation number.
Missing Hart Case Results
A blank result is not the end of the search. The Hart County case could sit in a different court. Or the name could be spelled in a way the docket search does not match. Some cases simply predate current indexing. Others live in bound books or archived files instead of the database. Sealed, juvenile, and restricted categories stay off the portal too. A city matter, a Probate case, a Magistrate filing, or a federal case would fall outside the Hart Superior portal altogether. A wider Hart County court records search is often the fix.
Try the custodian, not repeated guesses. Give the proper clerk the court, year, record type, known name, and non-sensitive case number. Ask whether the file is archived, restricted, or held under another system.
Planning papers the county issued in 2022 talk about scanning and indexing work. That work was still underway. Work in progress is not the same as a finished archive. Older dockets may still sit in bound books, card indexes, microfilm, scans, or storage. Hart County's courthouse fires and later building changes make gaps more likely rather than less. Treat the online docket as one layer of the court records, not the whole record.
Restricted Cases and Access Rules
Uniform Superior Court Rule 21 starts from the presumption that court records are open. Law or procedure can limit access anyway. A proper sealing order should say what material is restricted and on what basis. Juvenile files, adoptions, protected identifiers, and sensitive protective-order details are the kinds of items a clerk may withhold. Redaction is possible too. One quirk of Hart's anonymous Icon screen: there is no field showing sealed or restricted status. So an entry missing online proves nothing about the file. When something seems closed, ask the clerk for a public or redacted copy. If the answer is no, ask for the legal basis in writing. The Georgia Attorney General request guidance explains the state's response framework. It favors a clear written scope. It helps mainly with agency records, though. Court-file rules, statutes, and judicial orders still govern court material.
Hart Case Search Fallbacks
When every docket portal comes up empty, go to the clerk who holds the file. Superior Court records can be inspected during posted office hours. It pays to call first about terminal access, retrieval of older files, copy fees, identification, payment, and turnaround. Mail routes and a Clerk fax are published. Hart has no official general request form and no electronic-delivery rule. Confirm the clerk will accept your request before you send personal data or money. The Probate office sits at 185 West Franklin Street, reachable at 706-376-2565. Magistrate works from the courthouse square at 706-376-6817. Tickets from Hartwell, Royston, Canon, or Bowersville belong to the issuing city court. Mail for the Superior Clerk goes to P.O. Box 386, Hartwell, GA 30643. A tight request helps. Name the court, the year, and the document type, and the staff gets a real head start on the Hart County court docket. Once you know the case number, Hart County Court Dates covers the hearing side. The annual calendar is a scanned starting point. A later signed order still controls.
